Position: Safety Coordinator

Reports To: VP of Operations

Employee Type: Full-time, Exempt

Job Summary

The Safety Manager is responsible for a full range of activities ensuring operation effectiveness and excellence in all areas of business administration. The primary function of the Safety Coordinator is to ensure that checks and balances within the scope of safety management are maintained in a fashion compliant with OSHA regulations and are consistent with the quality management system.

Essential Duties

Policy Development

• Continuously monitors industry and regulatory publications for safety related topics and current events in order to periodically review, maintain, and update the company safety manual and safety policies.
• Works with the quality manager, area managers, and executive management to align company policies and programs with new regulatory paradigms.
• Reviews data collected from internal and external reports and other resources tore commend improvements to safety policies and programs.
• Outlines and communicates individual and departmental responsibilities for effective oversight of safety program management and execution, including reporting requirements, incident and accident response protocol, and corrective measures for continuous improvement.
• Works with document control to release and publish new versions of policy documents and ensures that older versions are removed from circulation.

Incident and Accident Monitoring, Investigation, Reporting and Risk Management

• Serves as main point of contact for federal and state regulatory agencies for safety inquiries.
• Defines criteria for best investigative practices and leads all investigative efforts arising from incident and accident reports.
• Documents investigations and findings in accordance with the quality management system, including performing a root cause analysis for each reported incident and consolidating data for all incidents to see and respond to small and large scale trends.
• Ensure employees and their managers adhere to mandatory probationary measures invoked as a result of an incident or accident. This may include:

1. Restriction of privileges
2. Increased monitoring and supervision while performing job responsibilities
3. Enhanced requirements for training
4. Assessing competence, requisite knowledge, and compliance with safety rules

• Prepares monthly reports of personnel injury trends, analysis of causal factors, and recommendations for corrective and preventive actions.
• Works with the quality manager, area managers, and executive management to develop plans for prevention of reported incidents and accidents.
• Works with compliance and legal department for executing and managing claims processes relating to safety accidents.
• When necessary, communicate with regulatory agencies and business partners the results of investigations and response plans.

Safety Inspections, Reporting, Job Hazard Analyses, and Job Task Analyses

• Maintains OSHA log for all company locations.
• Perform periodic inspections of company facilities to identify latent conditions and employee practices which are or cold become workplace hazards.
• Completes and maintains job or site hazard analysis (JHA) records and works with quality and human resources management to mitigate hazards and/or enhance awareness of hazards in the work environment.
• Develops job task analyses (JTAs) for each employee position and work with human resources to incorporate JTA data into recruitment and onboarding.
• Coordinate’s location visits with insurance and broker partners as required.
• Works with the quality manager to develop a system of auditing job files to identify vulnerabilities such as undesirable cost and schedule impacts.

Training and Awareness Programs

• Leads weekly and monthly safety training sessions, meetings, and discussions with operational and business administrative units, inclusive of the following:

1. Field and shop service and repair teams
2. Warehouse and distribution operations teams
3. Manufacturing shop personnel
4. Office and administrative personnel

• Defines requirements for personal protective equipment (PPE) by job task analysis and oversees provision of PPE to each employee, his/her manager, and/or branch.
• Manages and directs the activities of localized safety committees and trains committee members.
• Oversee training process and ensures requirements are met for employees performing work on-site at customers’ facilities and mediates communications between client and employee to ensure records and maintained appropriately.
• Works closely with human resources on targeted improvement efforts for disseminating safety information, assessing effectiveness of training, and scheduling recurrent training.
• Works with human resources, quality management, area management, and executive management to develop performance-based reward and recognition programs.

Key Performance Indicators (KPIs)

Indicators of success and satisfactory job performance will include but may not be limited to:

• Positive or negative trending of overall company safety ratings with regulatory bodies.
• Knowledge of safety regulations and regulatory requirements and practices.
• Ability to interpret data for trends and to define an effective response plan to effectively curb undesirable trends and practices.
• Thoroughness and consistency in maintaining safety documentation, records and files
• Effectiveness communicating policies and procedures which reflect improved overall awareness and understanding of safety rules by employees.
• Ability to manage and support administration of training and individual and group training schedules.

Other subjective factors considered in assessing job performance include the ability to balance applied expertise and knowledge with “soft skills” such as interpersonal skills, communication ability, aptitude for learning and adaptation, computer skills, abstract and conceptual thinking, and accurate planning and prediction of operational activities.

KPIs may or may not be quantified using formal systems of performance measurement but will be assessed qualitatively at times of performance review.

Supervisory Responsibility

This position does not have supervisory responsibility.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers and smartphones.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear; and taste or smell. The employee must occasionally lift or move up to 20 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8 a.m. to 5 p.m. This position regularly requires long hours and weekend work.

Travel

Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
